JOB DESCRIPTION

About the Role

An established and respected full-service advertising agency located in downtown Louisville seeks a highly organized and detail-oriented operations manager. This role is the backbone of the agency's financial and administrative operations. It is responsible for managing daily accounting tasks to month-end close, as well as handling essential office management and HR administrative duties.

The ideal candidate thrives in a multi-faceted role, possesses strong accounting fundamentals, and is comfortable managing vendor relationships, payroll, and benefits administration. Experience with agency-specific accounting software (specifically Advantage ERP/Simpli.fi) is ideal.

Key Responsibilities

Accounting & Financial Operations

  • Process invoices, execute check runs, and ACH payments. Handle client billing, including media and production billing, and manage accounts receivable.
  • Perform monthly bank and credit card reconciliations. Prepare and distribute monthly financial reports to leadership.
  • Reconcile media advances, process monthly/quarterly retainers, and ensure all media and production billing is accurate and timely.
  • Process and pay monthly sales tax, manage annual 1099s, and ensure timely payment of pass-through taxes.
  • Serve as the primary operator of Advantage ERP (Simpli.fi) system, ensuring accurate job costing, WIP management, and time tracking compliance across the agency.

Payroll & HR Administration

  • Execute bi-weekly payroll through Paychex, including necessary journal entries and bank ledger updates.
  • Manage 401k uploads (Employee Fiduciary), handle annual health enrollment, update employee PTO/vacation tracking, and process manual checks for benefits providers.
  • Download and distribute quarterly 401k and Paychex reports, manage Section 125 POP plan, and handle Group Term Life Insurance reporting.

Office Management

  • Manage relationships and payments for building services and IT/software vendors.
  • Monitor and order office supplies to ensure the agency runs smoothly.
  • Maintain organized physical and digital files, manage corporate credit cards, and handle miscellaneous administrative tasks as needed.

Qualifications

  • Proven experience in full-cycle accounting, bookkeeping, or financial operations, preferably within a professional services environment.
  • Strong proficiency in accounting software; prior experience with Advantage ERP (Simpli.fi) is a big plus.
  • Experience processing payroll (Paychex preferred) and managing basic HR benefits administration.
  • Exceptional organizational skills with the ability to manage multiple deadlines (e.g., monthly sales tax, bi-weekly payroll, month-end close).
  • High level of integrity and discretion in handling confidential financial and employee information.
  • Ability to work independently and proactively solve problems in a fast-paced, small-agency setting.
